Our client is the most locally-focused security service provider in Kenya that offers unmatched security solutions to meet the specific needs of hundreds of both commercial and individual clients seeks to recruit a Receptionist & Administrative Assistant.
The Receptionist is responsible for overall front office activities, including the reception area, purchasing requests and facilities. The Receptionist will organize office communication and activities on a day-to-day basis. This individual’s primary responsibilities include handling incoming calls and visitors, while maintaining office common areas and facilitating meetings.
The receptionist is also required to handle a range of administrative roles as assigned by the Operations Manager or Director.
Duties and Responsibilities
Greet and welcome visitors to the Offices, and informing the relevant member of staff of their arrival.
Monitor and ensure that the reception area is kept tidy and projects a business-like image.
Compile and update staff lists, and contact details regularly.
Monitor and provide office supplies i.e. Stationery & kitchen supplies for staff and maintain adequate stock; task includes ordering new supplies, identifying new suppliers and obtaining the best price and quality for the company.
Provide administrative and general support to Management in ensuring compliance
Handle filing of documents
Manage office meeting schedule
Provide logistical support to meetings held in the Board Room, to include preparation of meeting and board rooms and assist in arrangements for catering provisions when required.
Maintaining an up to date, effective and accessible filing system for all hard copy staff and HR documents in the department to facilitate easy retrieval of records.
Ensure company branded uniforms are ready for new staff.
Assist new staff in completing compliance forms.
Skills and Qualifications
Diploma in Business Administration or related field.
At least 1 year in a similar position
Extremely detail oriented with excellent project management skills, ability to handle multiple projects and tasks, often in a fast paced environment.
Self – motivated, Confident and outgoing personality
Very effective organizational skills
Personal Credibility, Honest, Trustworthy & High Integrity
Good command of English and Swahili
